Race Day Volunteer (Setup, Packet Pickup, Cleanup, Timing, Aid Station)

May 10, 2025

Details

Upstate Race Series will need volunteers for a 3 hour block during the event. Some of the duties that can be performed during your 3 hour assignment are outlined below.

PACKET PICKUP
The race day packet and bib pickup volunteer will be responsible for passing out race bibs, apparel that was ordered, and timing tags and straps. For the majority of our events we will be using the race day check in app that can be downloaded with Android or Apple here:

SETUP
Assisting our race staff with setting up tables, tents, timing equipment, awards, and or aid station. Must be able to lift over 40lbs

CLEANUP
Assisting our race staff with cleaning up tables, tents, timing equipment, awards, and or aid station. Must be able to lift over 40lbs

AID STATION
Assisting runners with refueling at the aid station. Serving hot beverages, refilling water jugs, and stocking the aid station.

TIMING
The role of our timing volunteers will be to simply monitor the software that will be running on our laptop at the timing table under the timing tent adjacent to the finish line. You do not have to touch anything for the most part. In the event that a bib number is missed or a correction needs to be made I can train you on a simple manual bib entry. In the case of our ultras we will normally have a TV monitor that will also display participant names. If for whatever reason I am not around during a timing question or malfunction of the software or hardware please call me. I will have my number available on race day.

Please verify with the timeslot during this registration form when you need to arrive. An email from our volunteer coordinator will be sent out the week of the race detailing your volunteer duty and how you can claim your race entry for this event or a future event. Sweeper

May 10, 2025

Details

The role of a sweeper is to either maintain position with the last runner to ensure all runners are safely off the course all while picking up any race materials (arrows or flags) that might have been placed on the course to direct the runners. Please make sure that you do not pick up arrows that might be at various intersections where runners are double backing or merging from another location on the course. Only pick up the arrows as you “see” them in the direction of the race.
